Rescue & Recovery Team needed STAT!

I was recently approached by a long time NextGen customer who was in the midst of a complete hardware system failure.  Their systems were down. No EHR. To top it off, their backups were both out-of-date and corrupt. The perfect storm without a storm.

Their NextGen EHR system was on servers at their own location, and maintenance rested on the shoulders of an IT consultant with limited NextGen experience. The practice lead, Dr. Olson, needed all the help he could get, and he needed it immediately.  Our eMedApps team was ready, with all hands-on deck.

The rural, 2-doctor, family-care practice had already sent their backup tapes to a recovery company, two hours away, in the Dallas area, to see what data could be salvaged from them.

At this point, Dr. Olson was faced with finding a fix for their system, restoring what data they could, and continuing to see patients, all while trying to keep the practice running as normally as possible.  He needed our help and fast.  We mobilized our hosting team, discussed the options, and were ready to act the moment we received the salvaged data.

It took the recovery company about a week to extract the data from the corrupt tapes.  The tapes arrived late that Friday and over the weekend we got their NextGen system running, giving the practice access to critical patient data. Over the next two weeks we worked, in partnership with the practice, to get their NextGen system completely up and running, and securely hosted in our data centers.  This is not our standard implementation timeline, but when there is a need, we always do our best to meet it.

 

So much of it seems to be working, with more data that I could have ever expected to be back.

Dr. Scott Olson

Dr. Olson has asked us to be his “one stop shop” for all things related to NextGen and hosting.

We started by reviewing what had recently been submitted for MIPS and quickly made some minor adjustments to raise their score for a positive payment adjustment. These changes allowed them to secure reimbursements that helped pay for our services.

We will be performing a Security Risk Assessment for him, as well as a targeted support platform to submit their numbers for 2018.  With ongoing support, we can make sure all deadlines and thresholds are accounted for.

We are also setting his team up with our CareFinity® application which comes with our hosting service. The CareFinity® EHR Downtime Solution will provide some much-needed peace of mind for Dr. Olson and his team. They can rest easy knowing that it provides easily accessible web views for viewing patient charts and creating notes in the event of planned or unplanned EHR downtime. So if their internet goes down they still can see patients, search for charts and document visits using CareFinity®.

We will continue to be an ongoing resource and extension of their practice to minimize future emergency situations such as this.  We hope that Dr. Olson can now sleep much better at night.

It is incredibly rewarding to be a part of a team that goes the extra mile to meet a customer’s needs. A team that strives not only to make the NextGen system more productive for practices overall, but to alter our solutions to meet individual needs and timelines.
